WEDDING SERVICE DETAILS & PACKAGES

My Packages are designed to help you with just the right amount of time needed for your special day. Why charge you for a full day if you just need some help for a few hours.  Each package is priced so there are no surprises and if you need me to help with the rehearsal then it can easily be added on (all add-ons are at the bottom) as well as many other extras that are only available to my clients. We will do everything we can to tweak these packages to what you need, so don't hesitate to ask all we need to do is jump on a call. Below you can get a good idea what my packages entail no secrets here! Don't forget to bookmark us if you aren't ready to chat.

Here is a brief overview of what I will help you with leading up to the Big Day

Months leading up to your Wedding Day

Depending how far out you book with me I am more than happy to give helpful advice when trying to find vendors & guide you in asking smart questions with all your vendors leading up to your big day.  Basic planner advice without the added extra fee. We'll also go over specific details like table placement & décor setup, meeting in person to do this is also an option


One month Prior to Wedding Day
Meet with the couple to view venue & go over time-line. Go over any arrangements the couple have previously made with vendors, and update time-line accordingly. 

Two Weeks Prior to Wedding Day
Confirm final details with vendors prior to wedding day. Make sure that all vendors have my contact information. Send vendors a copy of the final timeline and make sure they have directions to the ceremony and reception locations.


Please Note: 

Your Special Day by Roxanne will not renegotiate any terms in contracts with vendors at any other time prior to, during, or after your wedding day. All agreements should be finalized prior to the wedding.

Perfect package for the couple who just needs a little help with their

ceremony and getting the reception going.

Up to 4 hours of service -65 ppl max but not limited to

Attend, organize & run 30-minute rehearsal free of charge

Confirm times/meeting places for ceremony & getting ready spaces

Oversee décor setup for ceremony, cocktail & reception and will assist with ceremony space décor,

welcome table, and cocktail area

Pop the Champagne Package $655

This is a great package for the couple with a bit larger guest list who might like to

split up their time with some set-up, ceremony & partial reception time OR

if all you really need is someone to run the day this can be tweaked to accommodate you

Up to 6 hours of service - up to 100 ppl but not limited to

1 Venue for ceremony/reception

 Minimal Ceremony & Reception set-up only because of limited time on this package

(Welcome table, card/gift table, signage, favor table-this can be designed to your specific needs)

Provide Emergency kit to wedding party

Ensure that groomsmen have boutonnieres on

Greet Guest and direct them where to go

Assist in getting Wedding party down the isle 

Ensure proper flow of Cocktail hour & dinner

Cue band/DJ for introductions

A Wedding Day to Remember package $899

​

This package is perfect for the couple who needs a full day of service for venues that are a

bit larger and who may require a coordinator on property the whole time

Up to 8 hours of service plus 2 extra bonus hours at no extra cost if your venue requires it

135 ppl but not limited to, we can have extra assistants for larger numbers if we feel its necessary

Ceremony*

  • Set up programs and other ceremony items i.e., guest book, unity candles, etc.

  • Ensure that groomsmen have boutonnieres on 

  • Ensure that ushers/groomsmen are ready to pass out programs

  • Ensure that wedding party flowers have arrived at ceremony location

  • Ensure that ceremony musicians have arrived and direct them as to where to set up

  • Confirm the music that ceremony musicians will play during the ceremony, as well as start times for each piece of music. Determine what hand signals will be used to cue musicians

  • Act as a liaison with the ceremony officiator and decide what cue will be used to signal the start of the ceremony

  • Communicate with the couple so that they know how much time remains before the start of the ceremony

  • Line up the wedding party for their entrances down the aisle

  • Cue ceremony musicians when wedding party is ready to begin processional

Prior to Reception*

  • Greet vendors and instruct them as to where to set up 

  • I will make sure the client's vision is executed in regard to the décor and table placement

  • Arrange signage, place cards & wedding favors

  • Set up guest book and pen, champagne flutes, cake cutting utensils

  • Set up table numbers/names and menu cards

  • Set up amenity's baskets, hand towels, candles etc. in bathrooms

Please Note:

Depending on how much you need help with will determine the time needed to

set-up & still help your vendors with their questions and set-up.

Reception*

  • Ensure proper flow of cocktail hour food

  • Look over dining tables and make sure they are set up properly

  • Along with catering staff, encourage guests to join the happy couple for dinner at the end of cocktail hour

  • Help guests locate their escort cards and dining tables

  • Locate wedding couple and instruct them to stay to the side of main dining room until they receive cue for their introduction and first dance

  • Cue band or DJ when the majority of guests have found their tables and the happy couple are ready to be introduced

  • Cue band, DJ, photographer, and videographer when important events take place at reception (i.e.) first dance, cake cutting, toasts and parent dances per your instructions 

  • on your day of timeline

  • Cue wedding party when they are about to be announced for toasts

  • Alert catering staff to pour champagne just before the toasts or when you desire

  • Work with caterers to make sure people are served promptly

  • Distribute final payments/gratuities to vendors at the end of the evening (no negotiation in the terms of vendor contracts will be handled by myself at this time)

  • Prevent & fix any problems that may arise during your event

  • We will do our best to remain easily accessible through the entire event in case there are any details you would like attended to, but our main objective is to make sure your event is running smoothly so you don't have to be bothered with anything but having fun

  • Pack up gifts/cards, miscellaneous reception items (memory table, Sweetheart table decorations, cake table décor) and have them ready to be taken to a family members car at the end of the night

  • Coordinate reception departure transportation

ADD-ON's

These items can be added for a small fee we don't want to charge a large

package amount if you don't have any use for certain items

Rehearsal 2 hours

  • Work with wedding officiator to choreograph wedding ceremony, processional and recessional

  • Coordinate & guide your wedding party so they know where to stand and when to walk

  • Coordinate the introductions with your wedding party

  • Alert wedding party as to where they need to be the following day, and at what time

  • Help with any coordination of rehearsal dinner if needed

Pre-Ceremony-Bridal Party Attendant at brides “getting dressed” location $200

  • Facilitate on-time arrival of hair and make-up stylists and instruct them as to where to set up hair dryers, brushes, and any other equipment they have with them

  • Coordinate hair and make-up schedule with wedding party and stylists and ensure that hair and make-up is completed in a timely fashion

  • Champagne services & setting up food delivery

  • Make sure personal flowers (i.e.) bridal bouquet, bridesmaid's flowers, and boutonniere's arrive 

  • Distribute Flowers & assist with boutonniere's if needed

  • Make sure photographer arrives on time and has a “must shoot” list 

  • Assist bride with putting on her wedding gown if needed

  • Assist if necessary with First Look

  • Ensure that transportation arrives on time and instruct wedding party as to when to depart for ceremony

  • Maintain the Wedding Party Emergency Kit (This item will always be on hand)

    • Kit Includes such items as dry shampoo, safety pins, a sewing kit, scissors, Static Guard, wrinkle release spray, deodorant, straws, Band-Aids, and many other things you may need on the wedding day

  • Make wedding party aware of any last-minute details

We'll put these together for you if you are short on time prior to the big day, we'll even let you send your items to our address, so you don't have to be bothered.

 

Remember all these packages can be customized to what you need on your special day.  You also don't need to pay everything up front if we are far and enough out.  Feel free to contact me with your event date, type of event, location and number of guests. We can then set up call & establish the perfect coordination for you! 

 

 *** One other thing we would like our potential clients to know, we have not raised our prices due to inflation. We want you to be able to afford your wedding, so we aren't out to price gouge you. Since I started this business, it's been a mission for me to keep my prices low for couples.

Unlike a full-service Event planner, we're there for the client who wants to do most of the planning themselves, but when their special day arrives, they need a professional to execute all of their hard work. 

Too often, people rely on family and friends to help carry out plans on the day of their wedding/event. By asking a friend or family member to take on this stressful task, that person will not be able to enjoy the event as a guest, and will end up feeling like they're part of the event staff. 

In most cases, your “volunteers” have little experience in the role of event planner. They often end up feeling overwhelmed as they try to keep on top of everything that must be done to ensure that the day runs smoothly. Having someone there for you to execute your vision is a great investment!
